Satisfactory Academic Progress Policy
Effective Fall 2006
All students who receive financial aid are subject to SAP monitoring in compliance with the U.S. Department of Education. Students must continue to make SAP for units applied towards a degree or certificate. A student's SAP is measured in three areas: Qualitative, Quantitative and Maximum Time Frame.
- Qualitative - Cumulative Grade Point Average:
Undergraduates must maintain a cumulative GPA of 2.0;
Graduates/Doctoral students must maintain a cumulative GPA of 3.0
If a student does not maintain their cumulative GPA according to class level, the student is automatically placed on probation on the next enrolled trimester.
2. Quantitative - Rate of Progress: A student must complete a certain number of trimester units for which he/she has received financial aid according to the chart below:
| Class Level | Minimum units per trimester | Completed trimester units to fulfill SAP |
| Undergraduate | 6 or more* | 6 or more* |
| Graduate/Doctoral | 4 or more* | 4 or more* |
- No repeated courses are considered for financial aid*
If a student does not complete the number of units in the above grid, the
student is automatically placed on probation on the next enrolled trimester.
Students who drop all their classes during the trimester but still receive all or a portion of their financial aid, will be placed on financial aid probation the following trimester. Students, who drop all their classes during the trimester, will have their student aid eligibility pro-rated (see Federal Student Financial Aid/Return of Title IV Funds Policy) in compliance with the Higher Education Amendments of 1998.
Note: A student who does not maintain SAP for two consecutive trimesters will automatically be disqualified from receiving financial aid for the next enrolled trimester (see Financial Aid Probation).
| Spr04 | Sum04 | Fa04 | Spr05 | Sum05 | Fa05 | Spr06 |
| OK | No SAP | OK | No SAP | No SAP | Student Pays | No SAP |
Student must pay for Fa05 tuition because in the Spr05 and Sum05 the student did not make SAP. Student did not maintain SAP again in Spr06 now the student is ineligible for financial aid in Summer06 and future trimesters.
"I" (Incomplete) has no grade point value and will be counted as zero units completed. If a student is enrolled in 6 units and has a "C" grade for one 3 unit class and an "I" for the other 3 unit class, the student will be put on Financial Aid SAP Probation for the next semester.
"W" (Withdrawal) has no grade point value and will not be used in the calculation of the grade point average. The "W" will be counted towards the calculation of the Quantitative measure of progress and will affect SAP.
"AU" (Audit); "CR" (Credit); "NC" (No Credit) symbols have no grade point value and are not used in the calculation of the grade point average. They are not counted in credit attempted and are not eligible for financial aid. Doctoral candidates may be an exception if their program has a mandatory class structure of "CR" (Credit) or "NC" (No Credit)
Refer to the GGU catalog section "Enrolling at the University, Grading Practices and Academic Transcripts" for further information.
3. Maximum Time Frame:
Financial aid recipients must complete requirements for a degree within 125 percent of standard time frame (for instance, a student enrolled in a degree program that requires 123 units, he/she has up to 154 units to complete the program). Note: units attempted also include all transfer in units to GGU from prior institutions. Students who have reached their maximum time frame are NOT given one trimester of Financial Aid Probation. Students must appeal to reinstate financial aid eligibility see item B (below).
Financial Aid Probation means that the student will be awarded financial aid for the next enrolled trimester only. If the student has already been awarded for two trimesters, the student's award will be canceled and redone for one trimester only. After the Financial Aid Probation trimester is completed, a review will be done to determine if the student is meeting the criteria in all three components of SAP.
| Maximum number of non-consecutive trimesters on Financial Aid Probation: |
| | Aggregate: |
| Undergraduates | 4 |
| Graduates | 3 |
| Doctoral | 2 |
| Certificates | 0 |
| Three-Term Co-Hort Programs | 0 |
Students who exceed the number of trimesters on Financial Aid Probation will have to go through the appeal process see below (item B).
If a student is not maintaining SAP in all three components after the Financial Aid Probation trimester, the student will not be eligible to receive financial aid for any continuing trimesters.
How to reinstate financial aid eligibility:
A.Enroll and complete one trimester of at least half-time status without financial aid and maintaining the cumulative GPA for undergraduates, graduates or doctoral students while attending GGU or
B.Appeal your financial aid ineligibility by:
Writing a letter to the Financial Aid Appeals Committee explaining your extenuating circumstances and providing documentation supporting your situation.
Preferred documentation is three (3) professional reference letters with notarized signatures or on professional letterhead supporting your circumstance.
Professional references would include doctors, counselors, clergy, lawyers, school officials, therapists, social workers, etc.
The Financial Aid Appeals Committee will send a response to each appeal via e-mail and U.S. mail within 10-14 business days.
All financial aid students not on financial aid probation for SAP will be reviewed and measured against the above policy at the end of each semester.
Note: A student may not be eligible for federal and/or state grants if not making SAP during the financial aid probation semester.
