| BASIC FUNCTION AND SCOPE OF JOB |

Coordinate administrative services for the School of Taxation. Provide administrative management for the day-to-day functions of the School of Taxation, and direct administrative support to the Dean of the School.

| ESSENTIAL FUNCTIONS |
Coordinate and oversee administrative services for the School of Taxation. Provide proactive, high-level administrative support to the dean of the School of Taxation (Tax) and School of Accounting (Accounting), including calendaring, and correspondence, as well as committee, project and event support, including registration, materials and event management.
Staff advisory boards for both Tax and Accounting, including preparing meeting materials, making logistical arrangements, communicating with board members, confirming meeting RSVPs, taking minutes, tracking follow-up items and distributing reports and updates. Staff faculty and adjunct faculty meetings, including preparing meeting materials, making logistical arrangements, communicating with board members, confirming meeting RSVPs, taking minutes, tracking follow-up items and distributing reports and updates.
Provide general assistance to faculty in a variety of matters including general administrative procedures and textbook ordering. Coordinate and manage the production of printed course materials; serve as liaison between Tax and Accounting and the publisher(s) and bookstore.
Coordinate the school's faculty contract process. Monitor creation, track acceptance, and present for approval all teaching and administrative contracts. Ensure timely submission of contracts to HR/Payroll for payment. Resolve problems related to the contract process.
Coordinate course evaluation process, coordinating with faculty, adjunct faculty and the Office of Academic Affairs. Assist the dean with transmitting evaluation results to faculty.
Assist in preparing budget for the school; monitor assigned budget accounts; review all bills and invoices.
Supervise projects assigned to part-time staff; delegate work assignments; coordinate personnel assigned to special events and programs.
Assist with the development and implementation of marketing materials and program promotional strategies.
Interface with departments of the university including Business Services & Facilities, Human Resources, Finance, and Enrollment Services. Establish and maintain effective working relationships with the Tax staff and faculty at the Los Angeles and Seattle teaching sites.
Greet customers and constituents; route phone calls, mail, e-mail and correspondence appropriately. Take appropriate action regarding complaints from students, staff and faculty. Schedule and monitor student exams, when needed.

| QUALIFICATIONS |
Knowledge of:
• Principles of administration, office methods, practices and procedures.
• Methods and practices of financial recordkeeping, including budget creation and maintenance.
• Principles of supervision including employee training and performance evaluation.
• Software applications, including database, word processing, and spreadsheet software.
Ability to:
• Monitor an assigned budget.
• Establish and maintain effective working relationships with those contacted in the course of work.
• Analyze situations and make decisions in procedural matters without supervision.
• Interpret and apply university policies, procedures, rules and regulations.
• Communicate effectively, both verbally and in writing, with departments within a university environment.
• Prepare and maintain accurate and complete records, files and reports.
• Train and supervise assigned staff.
Experience and Education:
Bachelor's degree from an accredited college or university, and three to five years' increasing administrative responsibility in an academic setting; or the equivalent in education and experience.
