Dropping University Courses (other than Law School)
LAW SCHOOL STUDENTS,
click here for Law School specific information.
Financial Aid Recipients
Federal regulations specify the method that GGU must use to determine the amount of Title IV program assistance you have earned if you withdraw from all courses. The amount of assistance earned is determined on a prorata basis. For example, if you complete 30% of the payment period, you earn 30% of the assistance you were originally scheduled to receive. Once you have completed 60% or more of the payment period, you have earned all the assistance that you were scheduled to receive for that period.
You must contact a Financial Aid advisor
BEFORE dropping if:
- You intend to withdraw completely by dropping all courses; OR
- Less than 60% of the term has passed.
60% of a trimester is approximately ten weeks; 60% of an eight-week term is approximately five weeks. Please refer to the drop deadlines below for approximate dates.
If you withdraw completely from the term, some or all of your loan funds will be returned to the Department of Education. This may leave you owing a balance to GGU. Call the Financial Aid Office at 415-442-7270 or e-mail
finaid@ggu.edu before proceeding.
International Students
You must contact an international student advisor
BEFORE dropping a course. The advisor will need to determine if the drop will put you in violation of US immigration regulations. Contact your
international student advisor for guidance.
Drop Deadlines
Below are the standard term drop deadlines for course sections offered by the Ageno School of Business, the School of Accounting, the School of Taxation, and Undergraduate Programs. Please note that dates vary for non-standard course sections (i.e. course sections with start or end dates that vary by more than one week from the standard term dates). View the
Spring 2012 Academic Calendar for exact dates for non-standard course sections.

*Requests for drops or changes to audit status will not be processed after these deadlines. If you wish to withdraw from a course after these dates have passed, you may ask your instructor to assign you a "W" (Withdrawal) grade, which will appear on your transcript, but will not affect your grade-point average. The instructor has the right to decline such a request.
If you are an international student in F-1 or J status, units for courses with "W" grades are not included in calculating unit load for immigration purposes. Before requesting a "W" grade, contact your
international student advisor for guidance.
If you stop attending a course in which you are enrolled and do not officially withdraw from the course by dropping it or requesting a "W" grade (only available after the drop deadline), then your instructor will assign you a grade of "UW" indicating unofficial withdrawal.
Drop "W" Grade Policy
Following the Last Day to Drop without Tuition Charge, dropped courses are assigned a "W" grade; the only exceptions are courses that are canceled by the university or a
change from one section to another section of the same course. Students are liable for the tuition for all courses dropped after the Last Day to Drop without Tuition Charge according to the Academic Calendar. Students may request the instructor to assign a "W" grade after the Last Day to Drop or Change to Audit if they are unable to complete the course. Course sections that are dropped after the Last Day to Drop Without Tuition Charge are included in the attempted units for evaluating Satisfactory Academic Progress (SAP) for financial aid recipients.
Refunds
If you drop a standard course section within the first three weeks of the course's instruction, you will receive a 100 percent reversal of the tuition charge.
If you drop a standard course section after the third week you will receive no reversal of charges, even if you add a course for the same enrollment period. This applies even if you are adding a different section of the dropped course. View the
Spring 2012 Academic Calendar for exact dates for non-standard course sections.
If you drop before the refund deadline, the tuition charge for the course will be reversed, and your account will be credited. This credit will be used toward your future registration charges. If instead, you would like this money refunded to you, please send a request to Student Accounting Services either via fax to 415-442-7819 or via e-mail to
sas@ggu.edu.
If you are dropping after the refund deadline, and can show evidence of serious, unforeseen circumstances beyond your control which prevented you from continuing with the course or paying its tuition, you may still be eligible for a reversal of tuition charges. Submit a
Student Financial Petition to the Office of Student Accounting Services.

Dropping Law School Courses
Financial Considerations
If you choose to drop a Law School course, you are subject to the
Law School's Withdrawal Tuition Credit Policy. Consequently, the tuition charges for courses from which you withdraw after the end of the second week of the term will not be credited as a result of withdrawal. Please refer to the
Law School's Academic Calendar to determine the "last day to drop courses without tuition charge" (i.e., the drop deadline) for the term in which you are enrolled.
Financial Aid Recipients
If you drop units and end up enrolled in fewer units than you were packaged for, a portion of your Stafford, Perkins or alternative loans may have to be returned to your lenders. This may result in a balance due on your account if you received a refund check. If you fall below half-time status, as defined per the
Law School's Enrollment Status Classifications, prior to the 60 percent point in the term, some or all of your funds will have to be returned to your lenders. Please notify the Law Financial Aid Office immediately of any reduction in units by sending a message to
lawfao@ggu.edu.
Drop and Withdrawal Deadlines
Other than first year JD students, Law School students do not need permission to drop or withdraw from courses provided they do so prior to the date of the last class meeting for the course, or the last day of instruction for the term for courses that do not have class meetings, such as independent study courses. However, you may not withdraw from courses via GGU4YOU after the "drop" deadline. Instead, you must submit a
Schedule Change Request form. To withdraw from courses after the "end of instruction" deadlines you also must obtain the approval or the associate dean for student services or LLM program director, as appropriate. Courses from which you withdraw are recorded with a "W" (Withdrawal) notation and will appear on your transcript but will not affect your GPA. If you do not drop or withdraw from a course, and do not complete it or receive approval for an incomplete, you may be assigned the grade of "WF" (Withdrew Failing) that has the same effect on your GPA as a grade of "F."
Refunds
If you drop a "regular" course before the end of the second week of the term (or an "intensive" course before the third class meeting) the tuition charge for the course will be reversed, and your account will be credited. This credit will be used toward your future registration charges. If instead you would like this money refunded to you, please contact the Office of Student Accounting Services at 415-442-7839 or
sas@ggu.edu.
If you are withdrawing after the "drop" deadline, and can show evidence of serious, unforeseen circumstances beyond your control which prevented you from continuing with the course, you may still be eligible for a reversal of charges. Submit a
Financial Petition to the Law School Registrar's Office.
International Students
Do NOT proceed until you have discussed this drop with an advisor in the Law School's International Student Services Office. The advisor will need to determine if the drop will put you in violation of US immigration regulations. Call 415-442-6501 or e-mail
lawiss@ggu.edu for guidance.
